Event-day control
Onsite coordination gives you event-day management, not simply an extra pair of hands.
A company may already have the venue, caterer, rentals, entertainment, speakers, or guest list in place. That does not mean the event will operate itself. Suppliers still need access instructions, setup priorities, current schedules, approval contacts, and a person empowered to resolve conflicts.
ASE can receive the planning handoff, identify missing operational details, confirm the event-day structure, and lead the execution according to an agreed scope. The objective is to keep your internal team available for guests, leadership, and the business purpose of the event.
Planning handoff
Review contracts, vendor contacts, venue documents, layouts, guest plans, program details, and unresolved decisions before onsite work begins.
Vendor arrival control
Coordinate access windows, loading locations, setup order, power, staging, inspections, delays, and communication among suppliers.
Room and site readiness
Check placement, signage, registration, seating, catering, AV, branding, safety, cleanliness, and guest-facing details.
Guest flow and check-in
Manage arrival points, lines, registration exceptions, VIP handling, wayfinding, accessibility, and transitions between spaces.
Run-of-show management
Cue speakers, entertainment, presentations, ceremonial moments, meals, tours, transportation, and other timed elements.
Breakdown and closeout
Coordinate vendor load-out, property checks, rental counts, remaining materials, final issues, and information needed after the event.
Planning handoff
What to hand us when the event is already partially planned.
The first job is not to redesign everything. It is to establish one current source of truth, find the unresolved dependencies, and make the remaining responsibilities explicit.
Contracts and orders
Venue agreements, BEOs, supplier contracts, rental orders, entertainment details, permits, and insurance requirements.
Vendor contacts
Current contacts, arrival windows, load-in requirements, balances, open questions, and who has authority to approve changes.
Latest timeline
The current agenda, ceremony sequence, setup schedule, guest arrival plan, and breakdown requirements.
Site information
Floor plans, access points, parking, power, weather exposure, storage, loading areas, security, and restricted spaces.
Guest and speaker records
RSVP status, VIPs, speakers, special needs, substitutions, seating, credentials, and contact procedures.
Known risks
Unconfirmed suppliers, compressed deadlines, uncertain attendance, weather, construction, access limits, or internal decisions still pending.
Live escalation
What happens when a vendor is late or the plan changes onsite.
The purpose of onsite leadership is not to pretend nothing will change. It is to decide who sees the issue, who owns the response, and how the event continues without unnecessary disruption.
Vendor delay
Confirm status, adjust sequence, activate the appropriate backup, and protect the guest-facing deadline.
Room or site not ready
Prioritize safety and critical infrastructure, redirect labor, and hold nonessential details until the operating space is usable.
Guest or VIP change
Update check-in, seating, escorts, remarks, transportation, and host communication from one current record.
Program delay
Recalculate cues, service timing, speeches, entertainment, photography, and transitions rather than allowing the delay to compound.
Weather or outdoor issue
Use the approved contingency for tents, power, guest movement, activities, food service, and ceremony placement.
Breakdown and handback
Confirm rentals, supplier departure, venue condition, client property, final issues, and the items requiring post-event follow-up.

Onsite grand opening execution
The Mercedes-Benz of Bellingham opening required real-time control around guests, vendors, and a working showroom.
ASE coordinated guest check-in, tenting, signage, vendor activity, a dignitary segment, and event-day details while protecting the presentation of the new dealership showroom.
That assignment reflects the purpose of onsite coordination: your team should be able to welcome guests and represent your organization while ASE manages the operating details behind the experience.

Questions you may be asking
Direct answers without adding another meeting to your calendar.
Do we need full planning or only onsite coordination?
Onsite coordination fits an event with a substantially established scope, venue, supplier plan, and program. Full or partial planning is more appropriate when major sourcing, budget, guest, or program decisions remain open.
Can ASE take over after vendors have already been booked?
Yes. ASE can review the existing contracts, contacts, access requirements, timeline, guest information, and unresolved decisions, then build a practical handoff for the remaining work.
What happens if a vendor is late or something changes on event day?
ASE uses the agreed priorities, escalation contacts, supplier information, and contingency options to adjust the sequence and protect the guest-facing event. Your team retains authority over material cost or scope decisions.
Is onsite coordination the same as event staffing?
No. Staffing performs assigned functions. Onsite coordination leads the operating plan, directs vendors and staff, manages timing, and escalates or resolves issues according to the approved scope.
Can ASE manage registration or guest check-in onsite?
Yes. Check-in can be included with staffing levels, badge or guest categories, walk-in and substitution procedures, VIP handling, materials, and escalation rules.
What should I submit first?
Provide the event type, location, date, approximate guest count, what is already booked, and the main concern. ASE can request the contracts, run of show, vendor list, and site documents after the initial review.
Start with what you already know
Send what is booked, what is missing, and what is keeping you up at night.
Share the event type, location, date, and a brief description. The form stays short; ASE can follow up with detailed scope, budget, and procurement questions after reviewing your inquiry.
